A good shipment plan connects four people: you, the origin mover, the destination agent and the building team receiving the goods. Your job is not to become a freight expert. It is to make sure there is a named owner for each handover and a written answer when the schedule changes.

01

Give movers the same inventory and delivery assumptions

Describe the inventory, access and preferred delivery window

Prepare an item list with approximate dimensions, quantities and photographs. Include origin floor, lift access, parking, preferred collection date and anything already known about the Dubai address. Ask whether the company regularly handles household moves from your departure country to Dubai, and who resolves a customs or delivery problem. Allied Dubai and Crown Relocations Dubai are examples of operators to investigate; a familiar name alone is not proof of fit for your shipment.

Establish how the price was calculated

Ask whether the estimate is based on a physical survey, photographs, volume or weight. Find out when the measured shipment becomes final and how additions affect the price. Get the rules for date changes, difficult access and rescheduling in writing. A useful quote makes its assumptions visible.

Confirm whether the quotation follows a visit, a video survey or your own estimate. Ask when volume or weight is measured, whether the price is fixed and what triggers a revision. If the inventory is still too large, revisit shipping versus replacing your belongings before comparing final prices.

02

Agree the service scope and responsibility before signing

Separate the freight charge from the receiving costs

Your comparison should show packing, insurance, customs clearance, storage and final delivery. Name the destination agent and identify who prepares declarations and the packing list. Dubai Customs publishes conditions for personal effects and used household items; do not assume every shipment qualifies for a duty exemption. Ask the clearing agent which conditions and evidence apply to yours.

Request one breakdown for packing, transport, clearance, storage and delivery. Ask “Who invoices this?” as well as “Is it included?” The following table is useful when several companies handle one shipment.

Check taxes or duties where applicable, inspection handling, waiting time, stairs, parking, special lifting and storage. Use the questions to ask before booking a mover to close gaps before you accept a quote, rather than treating “additional charges may apply” as a usable budget.

Separate each service and the company responsible
Ask the moverRecord in the quote
Who clears the goods in Dubai?Destination agent and contact
What does the insurance cover?Insurer, limits, exclusions, deductible
What if the home is not ready?Storage rate, minimum term, redelivery
What is outside the price?Duties, inspections, access and waiting charges

Get the packing-list and document requirements before collection

Ask the clearing agent for identity documents, declarations and inventory requirements. Send uncertain items for review before packing them. Dubai Customs conditions for used personal effects do not mean every new, restricted or commercial-looking item can enter without questions or charges. The shipment handover guide explains where this confirmation belongs in the wider process.

03

Understand damage and loss cover before booking

Agree inventory, claims and cancellation procedures

Before paying, obtain the final inventory, insurance certificate, claims contact, deadline and required photographs. Distinguish the mover’s limited liability from any separately purchased shipment insurance. Ask about cancellation and postponement charges while you can still compare options.

Ask how item values are calculated, whether self-packed boxes are covered, the compensation ceiling, exclusions and claim deadline. Keep the insurer’s policy separate from the mover’s contract. For delays, ask whether accommodation or storage costs are covered; do not assume they are. Review independent feedback and route experience, especially how the company responds when things go wrong.

04

Pack around collection, delays and storage

Label boxes for rooms and possible insurance claims

Give each box a number, room and short contents list. Photograph valuable items and their condition before packing; record serial numbers where useful. Keep the inventory outside the boxes. Ask the insurer which evidence and deadlines apply if something arrives damaged, rather than discovering the claims rules while unpacking.

Carry allowed medicines, clothing, work equipment, chargers and children’s essentials separately. A shipment should improve your new home, not hold your ability to work or care for the family hostage to its arrival date.

Plan for a delay between clearance and moving in

Freight and customs timings are estimates. Avoid promising a final delivery date before you have access to the home and any required building permit. Research destination storage before departure: Crown Relocations, for example, describes short- and long-term storage options. Ask about minimum periods, access, release notice and redelivery rather than assuming you can collect one box whenever needed. Match this backup to your temporary accommodation arrangements.

Get the warehouse location, free-storage allowance if any, daily or monthly rate and release notice. Ask what access to stored goods is permitted and what another delivery costs. Finish with one practical question: “If my apartment is not ready on the planned day, exactly whom do I call and what will I pay?” A clear answer is more useful than a vague promise of flexibility.

05

Keep a clear handover through final delivery

Confirm lifts, loading access and building approval

Ask your building management about delivery hours, lift reservations, parking, doorway dimensions and any move-in permit. Give the mover the written requirements and ask whether extra labour or lifting changes the quote. “Delivery to address” may not mean unpacking inside the apartment.

Save the booking, payment and tracking details together

Keep the contract, receipts, inventory, policy, tracking reference and named contacts in one secure folder. On delivery, note missing boxes or visible damage on the receiving record and retain photographs. Do not discard packaging until you know whether the claims procedure requires it.
